  1. Referral codes - discount for newby and credit to the person referring

    Recent was given a referrl code to buy something that would give me a discount and the person that past me the code got some form of credit. Maybe Clava could automatically provide a code to a customer (possibly when they have bought a day pass or membership,) that gives the new person that uses the code x% off a day pass/membership and then gives some kind of credit back to the person who forwarded the code. I imagine the code would need to be unique to the product and customer however the credit would give some incentive for the customer to forward to their friends and family

  3. Barcodes - For Family members

    We're developing a new feature that will make it easier for families to manage check-ins at your facilities. Parents will be able to generate unique barcodes for their children, allowing them to check in independently without needing their parent present. These barcodes will be available as downloadable files or can be added directly to Apple Wallet and Google Wallet for convenient access on mobile devices. Parents will have full control over their family members' barcodes, with the ability to view, manage, and deactivate them as needed from their account. When a family member scans their barcode at check-in, staff will be able to see their details and linked parent account information, ensuring a smooth and secure check-in process. This feature will streamline facility access for families whilst maintaining the security and oversight that parents need.

  5. Profile button on mobile app

    On the mobile app, when a member clicks the profile button, unless they are accurate, it doesn't go into their profile toshow their barcode etc. Can this button be made larger for customers with larger fingers or smaller phones?

  6. Automated reports/Notifications for stock or other criteria

    Have the ability to schedule reports to run at a scheduled frequency to help automate reporting. Such as running and emailing/notifying that it's ready a weekly check in report, rather than having to run one manually each week. Notifications of a similar fashion would be useful in other circumstances for example low stock, rather than having to check or run reports manually.

  10. Program / (Youth/Adult) Teams Management System

    The Programme and Teams Management feature will enable staff to create and configure programmes with capacity limits, age ranges, schedules, and fees, whilst enforcing role-based access controls. Parents will be able to enrol their children through a self-service portal when capacity is available, and will automatically join a waitlist when programmes are full, receiving time-limited offers as seats become available. Staff will use a real-time roster to check participants in and out, with the system blocking check-ins for accounts with outstanding payments. The platform will send automated notifications for enrolment confirmations, waitlist offers, and attendance updates, whilst supporting bulk operations, CSV and PDF exports, and proration for mid-cycle billing.

  11. Bundles - Service Store Self Assignment

    This update will introduce significant improvements to the Bundles feature, enabling customers to assign bundled memberships to any customer rather than just family members. Customers will be able to choose an "Assign Later" option and contact operators to assign memberships to recipients by providing their name and email, whilst the purchaser will remain the responsible party for all payments. Additionally, operators will gain the ability to reassign any membership between customers, addressing a long-requested need. Point of Sale, will fully support bundles with direct assignment capabilities from the cart, streamlining the entire purchase and assignment process.

  12. Off Peak settings

    The Off Peak Settings feature will introduce a comprehensive system for managing differentiated pricing and access control based on time periods. Operators will be able to define specific off-peak hours for their facilities. The system will automatically enforce time-based access restrictions and verify pass compatibility, whilst customers will benefit from clear off-peak options. This functionality will support multi-location configurations and integrate seamlessly with existing booking and access control systems, ultimately enabling operators to optimise facility utilisation and revenue whilst providing customers with cost-effective climbing options during quieter periods.

  13. Operator PIN Code Feature

    The Operator PIN Feature will introduce a flexible authentication system that enables operators to move seamlessly between workstations whilst maintaining security and accountability. Operators will authenticate using 4-digit PINs at any workstation, with the system tracking all actions through comprehensive audit logs. Administrators will manage operator profiles, PIN resets, and permissions through settings, whilst the system will provide granular settings to determine which actions require PIN authentication.

  14. Late Cancellation & Last Minute Booking Feature Request

    This feature will decouple the late cancellation and last-minute booking windows, allowing separate management of each. The system will implement a 48-hour cancellation restriction whilst permitting bookings up to 1 hour before sessions with available spaces. Additionally, it will introduce dynamic booking restrictions based on current booking status: if a session has zero bookings within a specified timeframe, online bookings will be restricted; however, sessions with existing bookings will remain open for additional bookings. This will significantly reduce daily administrative overhead whilst maintaining booking flexibility for customers.

  15. Rental (logger, out and in)

    The Rental Logger System will create a comprehensive solution for tracking rental items within the Clava platform. It will integrate with the existing POS system, allowing operators to flag rental items during checkout and automatically log them in a dedicated rental database. The system will track who has borrowed items, monitor rental durations, and generate automated reminders for customers about return dates. Operators will have access to a dedicated interface for managing rentals, processing returns, and applying any necessary fees, whilst customers will see their current and historical rentals directly in their profiles. The implementation will be phased, starting with core POS integration and tracking functionality, then expanding to include enhanced features like notifications and reporting, and eventually advancing to inventory forecasting and customer self-service options.
